When a tutor publishes an Instant Book time slot, they are committing to having that time available to students for a lesson. Students pay for these lessons upfront and will expect to have a lesson at that date and time.
Of course, last minute schedule changes come up and users may need to reschedule or cancel claimed Instant Book lessons.
Student Initiated Reschedule / Cancellation
Students can reschedule or cancel a purchased Instant Book lesson up to 24 hours in advance by clicking the appropriate button on their Dashboard or My Account > Lessons page. Clicking to Reschedule will allow the student to select an unclaimed Instant Book slot at a different time.
Clicking to Cancel will simply refund the student's purchase.
If a student tries to cancel a lesson with less than 24 hours notice, they will be informed that all Instant Book lessons have a 24 hour cancellation policy and that they will not be eligible for a refund if they proceed with the cancellation.
Tutor Initiated Reschedule / Cancellation
If a tutor needs to cancel or reschedule a claimed Instant Book lesson, they can send a request to the student to reschedule or cancel by clicking on the scheduled lesson on their Wyzant Calendar. Tutors can do so up to the start of the scheduled lesson.
Clicking to Reschedule or Cancel will prompt the tutor to confirm their action before a request is sent to the student.
Once the tutor proceeds with the reschedule request, an automated Message will be added to the tutor and student's message thread.
The student can then accept or reject the Reschedule or Cancellation request from the Dashboard of their account.
Remember, it is up to the student whether to accept the request and reschedule / cancel, or to reject the request and keep the original time. If the student agrees to reschedule, they can only choose from other available Instant Book slots, so tutors should add bookable time slots for their preferred times prior to making a reschedule request.
Important Notes
- Tutor can only initiate a reschedule or cancellation request once per scheduled session, but the tutor can use their message thread with the student to answer the student's questions or guide them on how to process the request.
- Students will be automatically reminded about a pending reschedule or cancellation request 2 hours before the start of the lesson if they have not responded.
- Students can accept a request up until lesson start time
